Success report: LEIZA relies on easydb for efficient data management

Optimized data management in LEIZA through easydb

The Leibniz Center for Archeology (LEIZA), formerly known as the Roman-Germanic Central museum (RGZM), is a leading research institute that specializes in the documentation and evaluation of archaeological finds. Before introducing easydb the LEIZA team faced the complex challenge of efficiently managing large amounts of data and images from various sources and formats. There was therefore an urgent need for a central digital solution that would optimize both organizational processes and scientific documentation.

This success report, based on an interview with Dr. Allard Mees, senior curator and head of the “Scientific IT, Digital Platforms & Tools” department, as well as Dipl.-Ing. (FH) Guido Heinz M.Eng., head of operational IT and deputy head of scientific IT at LEIZA, highlights the advantages and positive effects of implementing easydb at the institute.

Challenges in data management in LEIZA

Before introducing easydb the Leibniz Center for Archeology (LEIZA) had to deal with large amounts of data and images from different sources and formats. The existing systems were not sufficient to efficiently manage this diverse data. A central, digital solution was necessary to optimize both the organizational processes and the scientific documentation. As a leading research institute in the field of archeology, LEIZA needed a flexible and powerful solution to meet the growing data management requirements.

Why easydb was the ideal choice for the Leibnitz Center

After a thorough analysis of various options, LEIZA decided on easydb . A key advantage was the web-based architecture, which, in contrast to many other purely Windows-based systems, offered greater flexibility and openness. These features enabled seamless integration into LEIZA's existing IT infrastructure and easy adaptation to specific requirements.

Implementation: Overcoming challenges

The implementation of easydb in 2010 presented LEIZA with several challenges, particularly in consolidating the existing data that was stored in different formats and in different locations. However, thanks to the collaboration with Programmfabrik and the use of internal technicians, a structured migration process could be established. Old databases were cleaned up and integrated into the new system, supported by the use of data cleansing and consolidation tools.

Improved workflow through the use of easydb

With easydb LEIZA was able to significantly improve its daily workflow. Central management of images and documents facilitates collaboration between different departments and projects. The ability to assign barcodes and positions to objects is particularly advantageous, which significantly increases the efficiency of managing and Search for specific data. In addition, the integration of workflows and the mapping of restoration processes enable complete documentation of all work steps.

Key features of easydb that optimized processes in LEIZA

The most useful features of easydb for the LEIZA include warehouse management, barcode mapping and support for external resources such as the Common Authority File (GND). These features have streamlined workflows and improved the quality of data management. In addition, modules for managing archival materials and mapping loan transactions were integrated, which further increased the range of functions of the system.

Results: Improved efficiency and safety

Since implementing easydb LEIZA has seen significant improvements in the efficiency and security of data management. The central database enables consistent and error-free documentation, while the improved workflows optimize work processes. The introduction of barcodes and the complete digitization of objects have increased the transparency and traceability of inventories.

Conclusion: Positive experiences and future prospects

Overall, easydb has significantly supported LEIZA in its daily work and improved data management. The positive experience and the continuous development of the system make easydb a valuable solution for other research institutes and cultural institutions. LEIZA plans to continue the collaboration with Programmfabrik and further expand the use of easydb in order to meet future challenges. Our thanks go to Dr. Allard Mees and Dipl.-Ing. (FH) Guido Heinz M.Eng. for their valuable insights and collaboration on this interview.
