Challenge

Berlin Partner for Business and Technology GmbH offers Commercial , investors and scientific institutions in Berlin extensive funding opportunities in the areas of business and technology. The Berlin Senate and over 200 Commercial are behind the public-private partnership. One of the core tasks is global marketing for the capital Berlin.

In 2011, Commercial , with over 200 employees, was faced with the challenge of storing the images and media for the marketing department centrally and making them usable across departments. The server should be unburdened by a central, web-based storage of images and the usage rights of the images used in Commercial should be ensured. As part of a public tender, easydb was chosen. The training offering and the unlimited number of users as well as customization and expansion options in order to be able to respond to later requirements were also crucial. The Activity Log modules for tracking login processes and downloads as well as LDAP for effortless authentication of internal users via single sign-on were also included.

Today over 250 users work with the image database both internally and externally. All employees can research the database and use material according to the approvals, which can be adjusted in rights management . A correspondingly configured format is available for download for use in presentations. High-resolution images for the press, publishers and magazines can be made available to external partners from easydb . Power users from various departments are responsible for uploading images. The images go into a central pool and are checked by the administrator for quality and accuracy and then released for further use. Newly acquired images are also stored in a central storage area. The quality and searchability of the image material are also optimized by adding metadata. Information on title, content, location and copyright is mandatory - further information is possible.

The switch from storage on the local server with distributed image stocks to the professional web-based Digital Asset Management easydb has proven to be a successful and easier measure for daily work. The communication channels could be shortened and the value chain could be mapped in one system.
